Fox Crossing is looking for insurance services proposals. The Request for Proposal (RFP) for Insurance Services can be found in this link. If you are interested in submitting a proposal please email [email protected] with the insurance companies you are requesting to quote. If we do not have an agent quoting that insurance company, the detailed insurance schedules will be forwarded to you. Currently we have agent(s) quoting EMC, Chubb, Travelers, Selective, CIC, Liberty, AAIC, AAIC, CVMIC, and LWMMI.

Questions from potential agents/insurance companies, along with Fox Crossing’s answers will be posted here. Proposers are invited to ask questions anytime, the deadline posted above is the final time that the Village will review and answer questions regarding this proposal.
This area will also be used for any clarification needed on the RFP. This will ensure all potential agents will have the same information for submitting their proposals.

Questions Recieved as of 3/16/2026:
1. Insurance limits and deductible requested for Liability Policy:
$3 million minimum liability with $1,000 deductible; however, Fox Crossing would also like quotes for $2,500 & $5,000 deductibles
2. Deductibles requested for Property, Equipment Breakdown and Contractor’s Equipment?
$1,000 (current policy) deductible with quotes for $2,500 and $5,000 deductibles
3. Auto Physical Damage valuation RC or ACV?
The Village currently has ACV for Auto physical damage but is requesting RC. Please quote both with deductibles of $1,000, $2,500 & $5,000.
4. Is the Village requesting Auto Liability – Med Pay, Injunctive Relief or Identity Recovery Coverages?
No, the Village does not currently have these types of coverages and is not requesting this for our proposal.
5. Is the Village requesting coverage for any special use animals?
Yes, the Village is interested in coverage for our Police K-9.
6. Total Number of Employees / Elected Officials
Fox Crossing issued 300 W2s for 2025, with 8 being Elected Officials. Many of these employees are part-time or seasonal. In 2026, Fox Crossing has budgeted 115 Full Time Equivalents.
7. Number of Employees at a Single Location
The most employes at a single location would be 84 at the Municipal Complex. This number excludes seasonal employees that can work out of the municipal complex, such as poll workers.

9. For Workers’ Compensation only the class codes for 5507, 7520, & 7704 are listed on the RFP form, do you have any others?
Please be aware that there are 2 columns of codes and amounts on the RFP WC Form. The Village uses 6 WC codes (5507, 7520, 7704, 7720, 8810, & 9414) for a total WC payroll policy of $8,201,739.85 estimated for the insurance policy year.
10. Can I receive the Statement of Values in an Excel format?

11. How many actual employee do you have, split between full-time, part-time and seasonal?
In 2026 the Village budgeted:
Full-time – 90
Part-time – 83
Seasonal – 71
This count equates to the 115 FTE in #6 above
12. What is the Village’ population?
19,331 (Village of Fox Crossing); however, the Fox Crossing Utilities extends into other municipalities for a larger population base.
13. Does the 31 sworn officers include the K9? Do you just have one K9?
The Village has one K9, which is not in the officer or employee counts.
14. Do you provide airport services?
No, the Village does not.
15. Is the Village requiring Employee Benefits Liability? It is listed in the forms under General Liability, section F, Mandatory Coverages, number 24.
Sorry for the confusion on this. It is more a question on if it is included in the General Liability coverage. We are not requiring it specifically but may look to add it depending on pricing and internal discussions, if an optional cost is given.
16. Can you provide the 2026 budget for General Fund expenditures?

17. In the RFP Forms, under several of the different types of insurances, there is a question about “Subject to Audit?”. Is this question about a payroll audit at the end of the policy year to determine final premium?
Fox Crossing is asking if you have an audit for that type of insurance policy to determine the final policy premium? We currently only have a Worker’s Compensation Policy audit that adjusts the final insurance policy premium. We are asking if you do this for any other of your insurance policies.
